Position Title: Accounts Receivable Administrator
Location: Denver, NC
Reports To: Chief Financial Officer (CFO)
Job Summary: Labor Connections is seeking a detail-oriented and experienced Accounts Receivable Administrator to manage our company's receivables and other cash receipts for multiple locations. This role involves preparing customer invoices, maintaining the accounts receivable sub-ledger, monitoring aged receivables, resolving customer credits, and assisting with month-end close procedures. The successful candidate will collaborate closely with the Sales and Shipping departments to support customer relationships and ensure robust internal controls. Additionally, this position requires cross-training in Accounts Payable and providing general accounting support to the CFO and Assistant Controller.
Essential Job Functions:
- Process customer invoices and ensure accurate internal controls in collaboration with Sales and Shipping departments.
- Manually invoice orders with special terms and coordinate shipping charges with Accounts Payable.
- Serve as a liaison for billing disputes and credits between customers and customer service personnel.
- Handle billing through client invoicing portals and prepare daily sales reports.
- Manage customer credits for Returned Material Authorizations (RMAs).
- Oversee new customer approvals, credit checks, account data entry, and maintain tax exemption certificates.
- Monitor customer credit, place credit holds, and conduct collection calls for past due accounts.
- Coordinate daily cash receipts, ensure deposit accuracy, and resolve payment discrepancies.
Essential Job Requirements:
- Proficient in Excel with strong analytical skills
- Experience in accounts receivable/credit/billing within a manufacturing environment
- Familiarity with Made2Manage or a similar ERP system
- Ability to manage and prioritize multiple tasks while meeting deadlines
- High degree of confidentiality and discretion
- Generate and distribute daily and monthly financial reports, and assist with cash balance monitoring and reconciliation.
- Provide support for Accounts Payable and other accounting activities, including vendor invoice coding and report preparation.
